Acceptable Use Policy
This policy sets out what you may and may not do when using Vela Air. It applies to all users of the app, web interface, and API.
Permitted use
You may use Vela Air for lawful flight planning, navigation, logbook keeping, and club management purposes in accordance with the laws of any jurisdiction in which you fly.
Accurate information
You must provide accurate information when creating and maintaining your account, including:
- Your pilot licence details and medical certificate dates
- Aircraft weight-and-balance data
- Club membership and booking information
- Any details used for CAA-compliant cost-share declarations
Entering false information that could affect flight safety is a serious breach of these terms and may be referred to the CAA or relevant authority.
What you must not do
- Share your account credentials or allow others to use your account
- Attempt to access another user’s account or data
- Probe, scan, or test the security of Vela Air systems without written authorisation

- Use the service for any purpose that is unlawful or that facilitates unlawful activity
Emergency features
The Mayday alert transmits your GPS position as an emergency broadcast. It must only be used in a genuine emergency. False or test activations are a serious breach of this policy and may:
- Result in immediate account suspension
- Cause unnecessary emergency response expenditure
- Constitute a criminal offence under UK law
Club and organisation administrators
If you administer a Club account, you are responsible for ensuring that all members of your organisation use Vela Air in accordance with this policy. You must not grant access to individuals who are not members of your organisation.
Enforcement
Breaches of this policy may result in:
- A written warning
- Temporary suspension of your account
- Permanent termination of your account without refund
- Referral to law enforcement where a criminal offence may have been committed
We will generally give notice before taking action except where the breach is serious, ongoing, or where notification would prejudice an investigation.
Appeals
If you believe enforcement action has been taken in error, contact us within 15 working days at [email protected]. We will review the decision and respond within 15 working days.
Changes to this policy
We may update this policy at any time. We will notify you by email if changes are material. Continued use of the service after notification constitutes acceptance of the revised policy.
